SUMMARY The Senior Manager of Facilities is responsible for the overall maintenance, safety, and functionality of AltaSea’s campus, including warehouses, docks, wharfs, and utilities. This role ensures that all facilities operations align with AltaSea’s mission and strategic goals through effective planning, oversight, and coordination of the annual Operations and Facilities calendar. The position leads the Facilities and Security Teams, providing direction, mentorship, and accountability to ensure consistent performance and high standards of service. The Facilities Manager oversees preventive maintenance, repairs, and emergency response, ensuring the site remains safe, efficient, and ready to support tenants, programs, and community events. This role also manages the Building Management System (BMS) to optimize energy use, reduce costs, and advance sustainability efforts. Through collaboration across departments, this position supports organizational goals, fosters a culture of stewardship and teamwork, and contributes to AltaSea’s continued growth as a model for innovation and community impact.
ESSENTIAL JOB FUNCTIONS: The list that follows is not intended to be comprehensive; it is intended to provide a representative summary of the major duties and responsibilities of the position. · Primary Duties: o Oversee day-to-day maintenance of AltaSea’s facilities, including warehouses, containers, wharfs, docks, piers, moorings, utilities, parking areas, water/power/waste systems. o Manage and implement all Facilities Tasks in the Operations and Facilities Annual Activities Calendar, ensuring that AltaSea’s mission is delivered and the Board approved strategic goals are met. o Lead the Facilities and Security Teams, chairing weekly team meeting and weekly 1 on 1s with your direct reports. o Maintenance & Repairs o Coordinate preventive maintenance schedules and ensure timely repairs to support programs, tenants, visitors, events, and community needs. o Conduct regular facility inspections and address issues promptly to maintain safe, welcoming, and operable spaces.
· Emergency Response o Serve as the primary point of contact for facilities emergencies, remaining available 24/7 for urgent needs. o Lead response efforts in coordination with staff, tenants, contractors, and emergency services. o Maintain and update emergency equipment, communication protocols, and community safety plans. · Building Management Systems (BMS) o Manage and enhance the Building Management System (BMS) to ensure reliable operation of mechanical, electrical, and utility systems. o Use system data to improve energy efficiency, reduce costs, and align with sustainability goals. o Coordinate upgrades, troubleshooting, and vendor support for BMS improvements. · Contractors, Partners & Vendors o Coordinate service providers, contractors, and community partners performing maintenance, repair, and improvement projects. o Ensure work is performed safely, cost-effectively, and in alignment with organizational goals. o Build collaborative relationships with local agencies, vendors, and stakeholders to maximize resources and community benefit. · Team Support & Collaboration o Provide direction and support to facilities staff, fostering a culture of safety, accountability, and teamwork. o Lead by example in customer service excellence, modeling professionalism and responsiveness with tenants, visitors, and community members. o Partner with other departments to support programs, events, and nonprofit initiatives hosted on site. · Compliance & Safety o Ensure operations meet applicable codes and safety regulations while maintaining transparency with public stakeholders. o Keep accurate records of inspections, maintenance activities, and compliance requirements. o Participate in safety reviews and contribute to continuous improvement of risk management practices. · Sustainability & Stewardship o Lead the adoption of sustainable practices in tools, equipment, and operations to reduce environmental impact. o Track maintenance expenses and manage resources responsibly to support nonprofit financial stewardship. o Support grant reporting, donor communications, and partner updates with facilities-related data and project outcomes. · Supervisory Responsibilities: Supervise and guide the Facilities Manager or Coordinator, who will: o Ensure all warehouses, grounds, and AltaSea equipment are well-maintained and in optimal working conditions o Manage work orders for repairs, maintenance, and daily operations of facilities and equipment to ensure timely and effective completion. o Conduct light maintenance projects, such as hanging dry erase boards, assembling small furniture pieces, copying and distributing keys. o Understand and develop building control systems, including alarm systems and emergency plans, and provide training to staff and tenants accordingly. o Coordinate procurement of furniture, parts, tools, and equipment and direct the work of related contract vendors. o Ensure OSHA and other safety requirements are effectively communicated and implemented. o Keep the OFD and Operations Manager informed of facility activities and bring solutions to significant problems to their attention. o Ensure that all personnel and tenants have internet access and power, managing day-to-day communications with IT consultants. o Manage security vendors (and be AltaSea’s primary emergency contact). o Support all events and site visits at the campus; and all-day rentals, including filming at the site. · Primary Interactions: · Frequent contact with AltaSea colleagues and contractors · May have periodic interaction with AltaSea Trustees, and senior staff · Frequent contact with vendors, Port of Los Angeles Construction & Maintenance
· KNOWLEDGE, EXPERIENCE, SKILLS, AND ABILITIES: o Experience: 5+ years in facilities management, maintenance, or related field (harbor/marine facilities and nonprofit settings preferred). o Technical Knowledge: Familiarity with mechanical, electrical, plumbing, utility systems, and BMS technology. o Mission Alignment: Commitment to advancing sustainability, accessibility, and community-centered facilities management. o Leadership: Ability to guide facilities staff, volunteers, and contractors with empathy and accountability. o Customer Service: Strong interpersonal skills; acts as a role model for tenant, visitor, and partner engagement. o Emergency Readiness: Availability to respond 24/7 to urgent facilities needs; capable of leading during critical situations. o Communication: Clear, collaborative communicator with staff, tenants, community partners, and regulatory agencies. o Technology: Proficiency with BMS platforms, work order systems, and digital tools (Google Workspace, MS Office). o Physical Requirements: Comfortable working outdoors in varied conditions; able to lift up to 50 lbs. and respond to on-site emergencies. o License/Certifications (Preferred): Valid CA Driver’s License; certifications in facilities maintenance, OSHA safety, or related technical areas.
WORKING CONDITIONS: § Works primarily in a warehouse setting at the AltaSea campus in San Pedro. The site is subject to noise, dust, temperature fluctuations as well as other warehouse conditions. § The position involves working occasional evenings and weekends § The candidate must have a valid driver’s license and be able to travel locally on occasion
