POSITION TITLE: Executive Assistant
REPORTS TO: Executive Vice President/COO
FLSA: Exempt

SUMMARY:  
Provides senior-level executive support to the President/CEO and Executive Vice President/COO in all facets of AltaSea, while maintaining awareness of and sensitivity to AltaSea and Trustee priorities and confidential materials and issues.
ESSENTIAL JOB FUNCTIONS:

  • Organizes, supports, participates, and coordinates all meetings, travel, special projects, special events, large-group meetings, and other administrative assignments as delegated by the President/CEO and Executive Vice President/COO.
  • Supports trustee-related assignments, including travel, site visits, meetings, scheduling, expense reimbursements, and other duties as assigned by the President/CEO and Executive Vice President/COO.
  • Maintains President/CEO’s and Executive Vice President/COO’s calendar and helps prioritize so that time is managed effectively.  Schedules internal and external meetings and resolves competing meeting requests.  Collects and presents relevant written materials in advance of meetings.  Anticipates meetings that may need to occur, internally and externally, based on current activities and priorities.
  • Supports the Executive Vice President/COO and the Director of Advancement in preparing for all meetings (including Trustee Board Meetings), collecting and developing agenda items, preparing presentation materials and handouts, drafting MS PowerPoint, Excel, Word, Visio, and other electronic documents, as well as ensuring the meeting room is prepared, hospitality is in order, AV requirements are in place, and ensuring that Trustees are aware and informed of all meeting dates and logistics.
  • Design and develop system to ensure all critical digital assets of the President/CEO and Executive Vice President/COO are properly stored in the AltaSea’s TEAMS or SharePoint networks.
  • Types, proofreads and edits letters, reports, contracts, informational materials and other documents.  Takes the initiative to construct correspondence to respond to routine issues and frequently asked questions.
  • Coordinate travel arrangements (e.g., air, hotel accommodations, ground transportation, etc.) and prepare detailed itineraries for the President/CEO and the Executive Vice President/COO.
  • Communicates general foundation information to external audiences, including Trustees, nonprofits, vendors and others in the philanthropic community.
  • Participate in Staff Meetings and other administrative meetings as necessary.
  • Handle sensitive information in a professional and confidential manner.  As necessary, escalate issues to appropriate individuals.
  • Performs other related duties and special projects as assigned.
SUPERVISORY RESPONSIBILITIES:  None
 
PRIMARY INTERACTIONS:
  • Daily interaction with President/CEO and Executive Vice President/COO to set priorities and manage assignments.
  • Weekly contact with special projects staff and consultants.

  • Ability to prioritize and manage several projects simultaneously, coordinate necessary workflow, update and chase delegated tasks to ensure progress to deadlines

EDUCATION AND EXPERIENCE:
  • Associate degree (Bachelor’s preferred) plus at least five years of administrative work experience (preferably in a philanthropic environment) – or an equivalent blend of education and experience
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, TEAMS)
WORKING CONDITIONS:
  • Works primarily in a warehouse office setting subject to noise and temperature fluctuations.
  • Subject to repetitive motion in typing on a computer keyboard and detailed vision in viewing computer monitor.
  • The position may involve working occasional evenings and weekends
PAY AND BENEFITS:
Starting pay $65,000/year

POSITION TITLE: AltaSea Seasonal Instructor
REPORTS TO: Education Manager
FLSA: Non-Exempt – Part time Position (~18 hours per week as needed)
DATE: January 2023

SUMMARY: Altasea at the Port of Los Angeles is seeking a Seasonal Instructor who will report directly to the Education Manager. This position will teach both in-house and externally at schools and youth organizations for AltaSea’s K-12 Project Blue education program. This position will provide education content knowledge, strategy, and guidance to AltaSea’s leadership and play a key role in connecting our education programs directly to workforce development opportunities in the Blue Economy. A passion for science, the ocean and ocean conservation is necessary. Pay is $27 an hour.

DUTIES: Provide in person and occasionally virtual instruction to students K-12 in school classrooms, at afterschool youth organzations and at the AltaSea campus.

  • Develop and execute education classes that demonstrate clear impact towards AltaSea’s goals of educating students for ocean sector careers.
  • Implement outcome-based programs; collect program information for tracking and reporting of key performance and program effectiveness.
  • Work closely with the Education Manager to ensure alignment of the education programs with state content standards, relevant metrics, and workforce development programs.
  • Collaborate with and convene key partners, including volunteers, nonprofits, agencies, corporate and public sector leaders and foundations to support program goals.
  • Cultivate relationships with and among education and community partners, donors, and the public sector to strengthen dialogue, learning, collaboration, and action related to AltaSea’s education and workforce development strategy.
  • Assist and update grantwriter with current programming and reporting.
  • Represent AltaSea’s education program at internal and external meetings, convenings and conferences.
  • Work with AltaSea’s Communications team to effectively communicate the impact of the education programs to internal and external stakeholders.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree preferred; Classroom experience preferred
  • Direct experience in the field of education, with knowledge around education state standards and program tracking and assessment.
  • Curriculum development experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES:

  • An understanding of education and job skills training issues related to underresourced communities.
  • Exceptional analytical, organizational, and time-management skills.
  • Strong interpersonal, written, and verbal communication skills.
  • Strong public speaking skills, adept at speaking to teachers and students.
  • Demonstrated ability to work collaboratively with all organizational levels within a diverse environment.
  • Proficient in Microsoft Office (Excel, Word, Outlook, and PowerPoint) is essential.

WORKING CONDITIONS:

  • Work will be performed at external locations (schools) and at the Altasea campus in a warehouse, wharf and/or floating dock setting.
